Please read all the information below carefully.
Members
For members attending as sponsored representatives of their home institutions (including sponsored faculty and students), GPEN will reimburse your accommodation. Details regarding the reimbursement process will be shared via separate emails after you have registered as a sponsored participant.
Reimbursements will only be provided for sponsored attendees.
Faculty
For faculty, full price of accommodations will be covered by GPEN.
Students
For students, GPEN will only sponsor half of the price of your accommodation, as you are expected to share accommodation with a roommate.
We recognize many students attending from the same university might want to room together, in which case feel free to communicate with your colleagues and book accordingly. Please have only one roommate book the room. Do not double book rooms.
We also recognize some students might be in need of a roommate, which GPEN will help facilitate. Use the Google form below to submit your roommate preferences. After making pairings, GPEN will reach out to you with your roommate assignment and their contact information. Then, we encourage students to get in contact with each other and coordinate who will book their room for the conference. As mentioned above, please only have one roommate book the room. Do not double book rooms.

We also want to emphasize it is the responsibility of conference registrants to book their hotel rooms.
Hotels
Below is information regarding hotels in the general vicinity of the conference sites, where GPEN has booked blocks for attendees to stay during the duration of the conference. We also want to note that shuttle service will be provided from all hotels to the conference site at regular intervals
Please note, if you are a sponsored attendee from Asia, Europe, Australia, or New Zealand, you will be reimbursed for a maximum of 4 nights (October 20 – 23, 2026), this is namely Tuesday, Wednesday, Thursday, and Friday nights.
If you are a sponsored attendee from North America or South America, you will be reimbursed for only a maximum of 3 nights (October 21 – 23, 2026), this is namely Wednesday, Thursday, and Friday nights.
When booking your hotel rooms, please keep the above reimbursement guidelines in mind. Of the 4 hotel options below, the Oread, Eldrige, and Hampton by Hilton have hotel blocks that include room options for Tuesday through Friday nights. Thus, we encourage attendees from Asia, Europe, Australia, and New Zealand to book using these hotel options first.
For attendees from North America and South America, we encourage you to book using Tru by Hilton first, as it includes room options for Wednesday through Friday nights. If filled by the time you are booking, then please use the other hotel options to book.
And for all attendees, if you find that one hotel option is filled, please try the other options. Just be sure to book for the appropriate number of nights by adjusting the dates when booking. GPEN will not provide reimbursement for any extra days booked.
